Special Events Coordinator

The Special Events Coordinator special events coordinator will spearhead our on-site live event marketing management and client relations. The successful candidate will be critical in on-site operations, strategy development, and high-level client interactions.


  • Oversee various aspects of on-site live event marketing planning, operations, and logistics, including, but not limited to, managing mid-range to large-scale hospitality programs, VIP Fan Experiences, complimentary ticket requests, and special events.

  • Coordinating with various stakeholders to ensure the event runs smoothly, including activities, transportation, overseeing staff, and working with subcontractors and vendors.

  • Effectively communicate with customers the event itinerary, the redemption of package inclusions, shuttle services, customer support timing, HQ locations and any security procedures.

  • Acknowledge, empathize, and resolve customer inquiries and maintain professional relationships with internal and external customers.

  • Conduct planning, staff, and operational meetings as required, ensuring smooth coordination of activities throughout the venues.

  • Build and maintain strong relationships with high-profile clients, ensuring their needs are met and exceeded.

  • Lead inter-departmental coordination to align event scheduling, execution, and client expectations.

  • Develop day-to-day operational policies and procedures for the department to be shared with all teams: package inclusions: ordering, fulfillment tracking and shipping and receiving/inventory.


  • Willing to travel for on-site event management.

  • 3-5 years of professional experience in event operations, hospitality, or a related field.

  • Proven leadership in a management role, preferably within a fast-paced, event-driven environment.

  • Strong business acumen with experience across the entertainment, live events, and hospitality industries.

  • Exceptional client service skills and a collaborative mindset.

  • Expertise in process development, project management, and team leadership.

  • Proficiency in Excel or Google Sheets and excellent organizational skills.

  • Proactive problem-solving abilities and a results-driven approach.
